Exporting Reports

Once a report is on screen, you can export it as a PDF, CSV, or Excel file to share with owners, management companies, or your team. PDF exports include your hotel name, a generation timestamp, and page numbers.

Exporting to PDF

  1. Run the report you want to export (see the Reports Overview).
  2. Click the Export button in the report toolbar and choose PDF.
  3. In the export options dialog:
    • Select fields - choose which columns to include, so the PDF only shows what your audience needs
    • Orientation - portrait or landscape. Landscape is the default and works best for reports with many columns.
  4. Confirm to download the PDF. The file includes the report title, your hotel name, when it was generated, and page numbers.

What gets exported

Exports contain the data currently loaded in the report - the date range and filters you configured are exactly what ends up in the file, whichever format you choose. Set the report up the way you want it before exporting.

If a report has no data, exporting shows a "No data" notice instead of downloading an empty file - check that your date range and filters actually contain results.

Exporting to CSV or Excel

The Export menu also offers CSV and Excel. Choose one and the file downloads immediately - no options dialog is shown.

  • CSV - a plain-text file with the report's column headers and rows. Best for importing into other systems or spreadsheets.
  • Excel - a formatted .xlsx workbook with the report title, generation timestamp, styled headers, and auto-fit columns. Best for working with the numbers directly.
  • PDF - a print-ready document with your hotel name, timestamp, and page numbers. Best for distribution to owners and stakeholders.

Tip

For recurring distribution - like a weekly pace report for ownership - configure the report once, bookmark its URL (the date range and options are stored in the link), then re-open and export each week. See Custom Reports for details on shareable report links.
